Privacy Policy
Effective date: 20 August 2026. This describes how Awecode Solutions Pvt Ltd (“Awecode”, “we”) handles information in the HRM System at https://hr.awecode.com. It is a product policy, not legal advice.
Who is responsible
Awecode runs the service. Customer organizations create accounts, invite people, and enter workplace records. Those organizations are typically the controller of employee and applicant data they store. Awecode processes that data to provide the product. For your sign-in account (name, email, authentication), Awecode is the controller.
Information we collect
Account
Name, email address, password hash if you set a password, Google or GitHub identifiers if you sign in that way, and session data.
Workplace data organizations store
Membership and roles, profiles, contracts, payroll and tax records, leave, attendance (including time-clock device logs), work logs, tasks, and recruitment applications (name, email, phone, resume, and related notes).
Service data
Cookies (session and last-selected organization), IP address and request metadata, error reports via Sentry, and messages sent to the optional AI assistant.
How we use it
To operate accounts and the product, send sign-in and invitation email, host files you upload, diagnose errors, and - when an organization uses the assistant - generate answers from the data that organization can already see. We do not sell personal information.
Who we share it with
- People in your organization who have permission (owners, admins, managers, as configured).
- Cloudflare (hosting), object storage for files, Sentry (errors), Google and GitHub (sign-in), email delivery, and AI providers when the assistant is used.
- Authorities if the law requires it.
Cookies
We use essential cookies for authentication, session, and remembering the organization you last opened. The app does not use advertising cookies.
Retention
Account and session data last as long as the account is active, plus a short period after sign-out. Workplace records stay until the organization deletes them or closes its account. Error logs and assistant messages are kept only as long as needed to run and debug the service.
Your rights
You can access and update much of your own profile in the app. For employee or applicant records, ask your organization’s administrator - they control that data. You may also contact us to ask what account data we hold, to correct it, or to delete your account. We handle requests under Nepal’s Privacy Act, 2075, and any other law that applies.
Changes
We will update this page when the policy changes and revise the effective date above.
